Vth World Parks Congress - 7-17 September 2003, Durban, South Africa

This is where new documents are posted and news disseminated. As well it host the daily coverage of the congress events and gives useful updates in the build up to the WPC. Media Logistics for World Parks Congress

This notification serves to outline the logistics put into place for media for the duration of the World Parks Congress, which takes place at the Durban International Convention Centre between 8-17 2003.

Media Accreditation

On-site accreditation will take place from 5 September at Hall 6 in the Durban Exhibition Centre. A media registration desk will be available to assist with accreditation and handle any queries. Media accredited via IUCN prior to the event will receive the PRESS badge at the desk.

Media accreditation will take place up to and including the 17 September 2003. Media delegates do not pay the Congress registration fee.

Only accredited media will be granted access to the Durban International Convention Centre (DICC) and the Durban Exhibition Centre (DEC).

Please ensure that you have a valid press card, some form of personal identification and the IUCN confirmation of accreditation letter, in order for your accreditation to be processed speedily.

Please note that only media with valid and recognized press cards will be permitted to accredit.

Accommodation & Flights

The WPC Organising Committee has allocated hotel rooms for media. Please visit www.iucn.org/wpc2003 to complete accommodation booking form. For hotel confirmations contact Charity Mberia on + 27 21 762 8600.

Please contact African Conferences Worldchoice on + 27 11 475-2902 and speak to Pam Oberholzer or Ken Brown to confirm travel and tour bookings (flights, car hire etc.)

Media attending the Congress are responsible for their own flight and accommodation bookings and for all associated payments.

Transport

A shuttle service will be available from Durban International Airport to all conference hotels on 07 & 08 September only. Services from Hotels to the ICC will run from 08 - 17 September 2003 only. Airport returns will run on 17 & 18 September.

Media are requested to arrange own transport for any other requirements (barring Congress field-trips)

On-site Facilities

The media centre is located inside the DICC in rooms 12 A, B, C, E. This is on the lower level. The media center comprises:

- A bullpen that includes 20 PC's and 20 telephone plug-ins plus telephone access on Worldcall. Seating for up to 50 media will be available.
- A Press Conference Room is situated next door
- Two interview rooms are available. These must be booked with the on-site media logistics team

Broadcast Infrastructure:

- Stand-up positions will be available in the main plenary hall
- Live audio plug-ins will be available in the main plenary hall (XLR connections - media to supply own cabling).
- Audio plug-ins will be available from Floor (English, French and Spanish is available in the plenary hall) However, please note, only Floor will be available in the media centre.

Press Briefings

On registration, media will be informed of details of an informal press gathering scheduled for the afternoon of 7th September 2003,.

A pre-congress press briefing will take place on 08 September at 12h00 in the Press Conference Room. This will be a joint press briefing between the SA Government and the IUCN.

Joint daily press briefings by the IUCN and the SA Government will take place from 12h00 - 13h00 in the Press Conference Room.

Please note that you will have to have been wearing your accreditation badge in order to attend these press briefing, as no entry will be permitted into the DICC without media accreditation badge.

For the duration of the Congress a daily roster of press briefings will be available at the media centre.

Field trips have been allocated, as requests have been received. Confirmation of field trip destinations will be posted at the Media Centre on 12 September 2003.

Opening Ceremony

The World Parks Congress Opening Ceremony commences at 16h00 on
08 September 2003 in the ICC. All accredited media have automatic entrance into the ceremony. Seating for media is reserved and ushers will be available to guide media to their seats, facilitate the technical needs of broadcast media, etc. Any queries should be directed to the media logistics office in the Media Centre.

The Monthly Web Updates

Each month 10 stories related to the Vth IUCN World Parks Congress will be posted on the WCPA Website. As well an e-mail is sent out to various people (World Commission on Protected Areas (WCPA) members, IUCN commissions' focal points, IUCN regional offices, IUCN headquarters, …) announcing the stories.

We welcome your submissions - stories should be ready to print (ie. require no editing), be a maximum of 350 words, and be accompanied by a picture. The deadline for submission is the third week of each month.

The WCPA Newsletter

This Newsletter comes out 3 times a year, is sent by hardcopy to all World Commission on Protected Areas (WCPA) members and is posted on the WCPA website. This year's issues will all focus on the Vth IUCN World Parks Congress. The planned schedule for distribution is April, June and August 2003.

We welcome your submissions - articles should be ready to print (ie. require no editing) and be a maximum of 600 words.

WPC electronic bulletin - "The Road to Durban"

Distributed three times per year to all World Commission on Protected Areas (WCPA) members and also to all IUCN Programme and Regional Heads, Ramsar; and the South African National Parks Agency (SANParks). This bulletin focuses exclusively on the Vth IUCN World Parks Congress (WPC), including updates on fundraising, communications, logistical and programmatic elements of the Congress.

Again we welcome your contribution. The 2003 bulletins will come out in February, June, and October.

Advance Media

From January onwards, we will be sending monthly releases and/or op-ed pieces to the media, to generate advance interest in the Vth IUCN World Parks Congress (WPC) and protected areas issues. The releases will also be posted on our website at the Press Releases section

To prepare the releases, we would like to capture material from around the world. In particular:

We would really appreciate provision of concrete examples. Please let us know of the projects in your programmes or regions that could be used as success stories for media releases or even of the projects which have failed

Ideally story ideas should be accompanied by photographs which we can use, with no copyright issues. Please ensure that you have clearly noted the local of each photo, and flora/fauna species if relevant.

We would appreciate it if you could give us some names of experts that we could approach for their input to the releases/stories.
